Upload Receipts to QuickBooks® Online Using Your Mobile Device

Jennifer Cobb CPA, PLLC -If you are using QuickBooks® Online (QBO), here is a super-handy feature that you will most certainly find beneficial.  You can use the QuickBooks Online mobile app to take photos of receipts…on the spot…at the time of purchase!!

The app is free when connected to your QBO subscription and is available for both Android and Apple devices.  I use it on my iPad, but you can also use the app on your phone.  Use this link to find and install the mobile app at http://quickbooks.intuit.com/mobile/.

When you make a purchase, open the app and decide if you are going to enter the expense on the spot or just take a photo of the receipt for your accountant (someone like me!) to use later.

If you are going to enter the expense on the spot, tap “+” and choose “Expense”.  Tap the camera to snap a photo of your receipt.  Enter the amount, choose your method of payment (credit/check/other), choose your vendor, and enter the category for type of expense (meals/office supplies/etc.).  Then “Save” the expense.  When you open QBO from your computer, the expense will already be entered and the receipt will be attached!

If you are going to take a photo of the receipt and enter the expense later (or your accountant will be entering the expense later), tap “+” and choose “Note”.  Tap the camera to snap a photo of your receipt.  Then “Save” the note.  When the expense is entered later in QBO, the receipt will be there available for attachment – from the Attachments box within the expense screen, click to “Show existing” and choose from the available photos as shown on screen.

(Be sure to make any applicable notes on the receipt before snapping the photo, especially IRS required information for business meals and travel.)

So easy!!
